Compact PST Files and Prevent Corruption Due to Exceeded Outlook PST File Size

Maintaining the size of Outlook PST file is a big challenge today specially for corporate users who receive hundreds of e-mail messages everyday. PST files are Personal Storage files that store all the user data including e-mails, tasks, contacts, calendar items etc. Most of the times, users are not aware of the size limit of PST file and large amount of data in PST file can lead to unusual behavior of Outlook or corruption of the file. To avoid such situations, it is important for every Outlook user to know the size limits of all Outlook versions and different methods to keep the PST file size smaller.

In Outlook, the size of PST file is limited and if the size increases beyond the storage limit, the file becomes corrupt. It is necessary to regularly delete old and unwanted items from Outlook. To make it clearer, let us consider a situation wherein you have configured your Yahoo mail account on Outlook 2002. You open Outlook to send an important photo to your friend but Outlook loads too slowly and you are unable to perform any action.

This usually happens due to large size of Outlook PST file. In order to avoid this issue, you need to compact PST file. To compact the size of PST file, you can delete unwanted e-mail messages and other unwanted items from Outlook. Whenever you delete an item in Outlook, it is moved to ‘Deleted Items’ folder and does not actually gets deleted. To delete the items permanently, you need to empty the ‘Deleted Items’ folder.

After you permanently delete unwanted items, you need to compact the PST using the following steps:

1. Click ‘Tools’ menu and then click on ‘E-mail Accounts’.

2. Click ‘View or change existing e-mail account’, and then click on ‘Next’.

3. Now click on ‘Microsoft Exchange Server’ and then click ‘Change’.

4. Click ‘More Settings’ and then click ‘Offline Folder File Settings’ on the ‘Advanced’ tab.

5. Now click ‘Compact Now’ to start the compression of PST file.

6. After completion of compact operation, click ‘OK’ twice.

7. Now click ‘Next’ and then click ‘Finish’.

After following the above steps, if the problem still persists then take the help of a third party Compact PST tool. These tools can help you to easily perform compact operation on a PST file. These tools also allow you to compact the PST file by extracting all your attachments to a separate folder and leave the shortcut in mails.
