Useful Free Software for Small Businesses

By | April 20, 2011

In today’s society, technology is integral to the success of any business: it’s unavoidable. For this reason, it is essential that small businesses utilize the best computer software available. Fortunately, there are several different types of useful software available for free on the web. Three of the most important aspects of small business technology are data storage, communication, and cloud processing.

One of the most effective data storage software services available online is Dropbox. Dropbox is a web-based file hosting service that you can download online for free. Users can store all of the data from their computer or office in one web accessible area. This means that Dropbox can not only store any data and files you wish it to hold like a hard drive would, but also enables you to access that data from any computer at any time. This function can be invaluable to a young or small business, seeking to manage their electronic records. While not all aspects of Dropbox are free, the initial download is free and offers a fairly large amount of space for no charge. If you have a lot of data and files that need to be stored, you may have to pay for the extra space in your Dropbox account.

Skype is also potentially valuable to small businesses. Skype is a great way for small businesses to save money with business communication. Skype is a software application that allows users to make voice calls and video chats over the internet for free. This can be a great resource for businesses around the world. Today Skype has over five hundred million users. Skype can pose some concerns for larger businesses, including worries about excessive bandwidth usage, security concerns, and inappropriate usage. While these may be valid anxieties for larger companies and corporations, small business owners could profit greatly from the use of Skype for their professional communication needs.

Lastly, in addition to using Dropbox for online access to data, a small business should consider using online applications to create their content. Google Docs is a great resource for most anyone and especially business owners. Google Docs is essentially like a word processor on the internet. With Google Docs, documents, spreadsheets, slide presentation, etc., are all contained in your account. Any emails containing documents will have a function where you can edit the document in the web browser and then send it for the same page. Google is basically taking the word processor, spreadsheet processor, and all other office type applications, and making them into web-based applications that are accessible from any computer and any time.

Any of these web based software applications can make the day-to-day activities of a small business or company run more smoothly. While it can feel like new technology is never ending, some new technologies have really hit the mark for improving small business procedures. Using any or all of these three free software applications may be key to maintaining your small business’s data and communications efficiently and effectively.

Great, article. I was about to write about the same topic. May be a good follow up article would be how SMB could use Google Spread Sheet for their own organizational communication.
